VOLUNTEERS

Volunteers are an essential part of summer swim team. Without volunteers, there will be meets. Because of this, every volunteer is important.

On-Deck Volunteer Positions

ON DECK VOLUNTEERS:  NVSL requires white tops & dark blue bottoms (shorts, skorts, etc). If it is rainy, you can wear any color rain coat.


Positions REQUIRING Certification/Training

Referee: The Referee is the most important job at the meet as they are responsible for running the meet. This volunteer has full authority over all officials to assign/instruct/judge. They are required to enforce all rules, settle any disputes, and signal to the starter that all is ready for each heat to begin. (Required at all Home Meets)

Starter: The starter works together with the Referee to run the meet. They assume control of swimmers until fair start of each heat. They are the individual who gives the "take your marks" command. (Required at all Home Meets)

Stroke & Turn Judge: The stroke and turn judge enforces stroke/turn/finishing rules governing each stroke. They will report any illegal technique to the Chief Judge/Referee. (Required at ALL Home and Away Meets)

Chief Judge: The Chief Judge acts as the "Referee" on the opposite end of the pool from the Referee. At meets where there are a lot of swimming infractions, a Chief judge can help expedite the meet by providing assistance to half of the stroke and turn judges. The Chief Judge controls swimmers after start, assigns/supervises Stroke & Turn and Take-Off Judges, and reports infractions to the Referee (Required at all Away Meets)


Chief Timer: The Chief Timer assigns timers to lanes and ensures all timers are in place and ready for each heat. They also operate as a back-up when a timer's watch malfunctions. The Chief Timer will also collect all time cards, check for completeness/accuracy and forwards them to Place Recorder. This position is for an experienced parent who has timed for several seasons. (Required at all Home Meets)

Asst. Chief Timer: The Asst. Chief Timer is essentially the Chief Timer for half of the lanes to support the Home Team's Chief Timer. This position is for an experienced parent who has timed for several seasons. (Required at Away Meets)

Timers: This volunteer does exactly what you would think - times the swimmers. Responsibilities include: verifying names of each swimmer in the lane; start watch at visual starting signal; stop watch when any part of swimmers touches wall; write times on time card OR displays time on timer board. (Required at ALL Home and Away Meets)

Timer & Relay Take Off Judge: These volunteers are the same as the timers - during relays, only TWO lanes are occupied in each race. Timers from the outside lanes will serve as Relay Take Off Judges - who will document whether the swimmer in the water touched before the next swimmer leaves the pool deck to swim their leg of the relay. (Required at ALL Home and Away Meets)

Clerk of Course: This position is responsible for assembling and verifying swimmers prior to sending to the starting area in the Clerk of Course holding area. Checks in swimmers and places in assigned lanes for A Meets. For B Meets, Clerk assigns lanes to swimmers and ensure that time cards are correct prior to sending to starting area. Must be able to maintain good order and discipline in the holding area. (Required at ALL A and B Meets)

Assistant Clerk of Course: Assist the Chief Clerk of Course with assembling swimmers prior to each event. Escorts swimmers to their proper starting positions. Must be able to maintain good order and discipline in the holding area. (Required at ALL A and B Meets)

Marshal: Wears cool reflective vest and is responsible for maintaining order/ensuring safety in the pool area. These volunteers are placed around the pool deck to ensure that swimmers remain in their team areas, spectators remain in the spectator area, and has the authority to removed individuals from the swimming venue behaving in an unsafe or unsportsmanlike manner. (Required for ALL Home and Away Meets)

Table Workers:

  • Data Coordinator - the "Table Chief." Coordinates all data (times, DQs, points) during the meet. In charge of exchanging data with other teams prior to meets. Trained and comfortable with Hy-Tek system. (Required for ALL Meets)
  • Awards Clerk: The awards clerk is responsible for taking the printed labels and placing them on the correct placed ribbon. (Required at ALL Home and Away Meets).
  • Place Recorder: The place recorder is the first step at the table workers. They receive the timecards from the Chief Timer (or runner) and verify the time is legible, attach DQ slips, mark the finish places (1st, 2nd, 3rd, etc.) and sort the cards into the correct order. (Required at ALL Home and Away Meets).
  • Verifier: The verifier confirms the time on the printed report matches the time on the timecards. They initial the printed report before it goes to the announcer. Highlights any records. (Required at Away A Meets)

Runner - Time Cards: Collects time cards for delivery to Place Recorder. (Required at ALL Home Meets)

Concession Positions

Important for every Home Meet

Sales: The Sales Associates will assist with the concession area - selling items, collecting money, and restocking supplies. Shift 1 associates will help with setting and prepping the concessions area, while Shift 2 will atted concessions through the end of the meet and help with breaking down the concessions stand and restocking all items. (Required at ALL Home Meets) .

Grill Master: The Grill Master is responsible for grilling meat (usually burgers and hot dogs) during the meet. (Required at ALL Home Meets).

Prep Cook - Pre Meet: In order to have food ready to sell at the meet, we need a handful of volunteers to help prepare food (generally cooking taco meat, slicing fruit, and preparing breakfast burritos depending on which meet we’re prepping for). For Monday B Meets, all prep must take place before 1:45 pm on Sunday or the day of the meet. For A Meets, prep must happen on Friday prior to 1:45 pm. Prep cooks should plan for this take 2-3 hours. Per Virginia food safety regulations (yes...we researched this!), all food must be prepared onsite at the BSSC Club House Kitchen. (Required at ALL Home Meets).

Kitchen Worker: This volunteer will assist with preparing and dispensing the "hot food" from the kitchen. Food items may include nachos, breakfast burritos, burgers, hot dogs, traveling tacos, etc. (Required at ALL Home Meets).

General Runner: Restocks concession snacks and brings water/lemonade to deck volunteers. May also fill in as a kitchen worker, as needed. collects food orders from deck volunteers ahead of break time. (Required at ALL Home Meets).

Grill Runner: Assists with moving food from grill to kitchen/sales areas. Wraps food in foil as needed. May also fill in as a kitchen worker, as needed. (Required at ALL Home Meets).

Snow Cones: Our snow cone volunteers are responsible for setting up and selling snow cones throughout the entire meet, then breaking down and cleaning the snow cone machine at the end of the meet. (Required at ALL Home Meets).

Popcorn Master: Serves as our very own carnival barker, making and serving heaps of popcorn with our very own movie-style popcorn machine! This job also requires machine setup and breakdown/cleaning of the machine at the end of the meet. (Required at ALL Home Meets)

Hospitality: Periodically checks bathroom for restock (lifeguards will do restocking); Assesses needs of timers/officials on deck; Assist with concessions sales as needed. (Required at ALL Home Meets)

OTHER POSITIONS

These are positions that don't fit elsewhere....

Team Area Wrangler: This position will help keep the team area in order both in terms of behavior and debris. Will need to be help with caps & googles as needed. During A Meets, the person will listen for the call of kids over to clerk of course (by the announcer and/or our own clerk of course) and send the appropriate swimmers over. This position will help distribute cards to swimmers during B Meets and send them over to clerk of course at the appropriate times (via announcer call or our own Clerk of Course call). Must be available the entire meet. (Both A & B Meets)

Announcer: Announces events and swimmers. Provides important announcements throughout the meet. Plays music throughout the meet. Sets-up and tears down sound equipment. (Required at all A Meets)

Grill Cleaner:  Needed to clean the grills before and after each meet to ensure safe cooking during the meets.
